Create a data flow diagram for an e-commerce order processing system

Here's a data flow diagram for e-commerce order processing. External entities are shown as rectangles, processes as circles, and the database as a cylinder.

01

Set the system boundary

State what system is being described and which people or services are external to it. Choose a context or more detailed view.

02

List data movements

Name the processes, stores, and information flowing between them. Use data labels such as order details or stock status.

Trace inputs and outputs

Check that flows make sense at the chosen level. Ask for a missing source, destination, or process to be clarified.

What is a data flow diagram?

A data flow diagram explains how information enters a system, is transformed by processes, is stored, and leaves it. It emphasizes the movement and use of data rather than execution timing.

When a DFD is useful

Use one for requirements discussions, system documentation, or reviewing where information comes from and goes. The example shows e-commerce processes, external entities, and product and order stores using a simplified visual notation.

Rules for a coherent data flow view

  1. Define the boundary first. Keep external entities outside the system scope you are describing.
  2. Name flows as information. Labels should identify data being transferred rather than merely say next.
  3. Name processes as transformations. Use an action that explains what happens to the incoming data.
  4. Separate stores from actors. Persistent data and the people or systems exchanging it play different roles.
  5. Keep levels consistent. A more detailed view should account for the boundary flows shown at the broader level.

How MyMap maps information movement

MyMap arranges the entities, processes, stores, and flows from your description. Ask it to label an ambiguous arrow, narrow the system boundary, or expand a process into a separate detailed view.

Common questions

Does a DFD show the order tasks run?

Its main purpose is to show information movement and transformation. Use a flowchart or sequence diagram when execution order is the main question.

What should I call an arrow?

Name the information, such as customer details, inventory levels, or approval result. Avoid a generic label like next that says nothing about the data.

Is the example tied to one formal notation?

It uses a simplified combination of process circles, entity rectangles, and store cylinders. Specify the notation required by your course or team and review the symbols accordingly.
