01

Describe the handoffs

List who does the work, what they receive, and what they pass to the next person or system.

02

Generate the workflow

MyMap turns the description into connected tasks and decisions that you can review from start to finish.

Check ownership at every transition

Ask to add missing owners, clarify approval routes, or show where rejected work returns.

What is a workflow diagram?

A workflow diagram shows how a piece of work moves through people, teams, or systems. Task ownership and handoffs explain how a request becomes a completed result.

Use it to clarify responsibility

A workflow is useful when work stalls between teams, approvals get lost, or new staff need to know who acts next. Choose a process flow when the main question is the sequence of operations.

Make handoffs visible

  1. Name the trigger. Start with the event that creates work, such as receiving a request.
  2. Attach an owner. Give each task a responsible role or system.
  3. Describe the handoff. State what information or deliverable moves to the next owner.
  4. Show return routes. Rejected or incomplete work needs a destination and a responsible person.
  5. Define completion. End with an observable result, such as publication or customer confirmation.

From team description to working diagram

MyMap organizes your tasks and connections, then adjusts them when you ask. The fixed example is a product-launch flowchart with research, design, a readiness decision, and an iteration loop; it illustrates routing without assigning team ownership.

Common questions

How is a workflow different from a process flow?

The emphasis is ownership and movement of work. A process flow puts more attention on sequence, conditions, and operational boundaries; the diagrams can overlap.

Can I include automated steps?

Describe the system action and its trigger as steps in the diagram. A drawn automation documents intended behavior; it does not configure the system.

How should I show a handoff that often fails?

Label the sender, receiver, required information, and the route for incomplete submissions. This gives the team a specific transition to examine.
