Name the major outputs

Start with the finished project and group its required deliverables beneath it.

02

Decompose the work

Ask for work packages with identifiable outputs, boundaries, and completion criteria.

Check scope coverage

Look for omissions and duplicate work. Split packages that are too large to estimate or assign responsibly.

What is a work breakdown structure?

A WBS decomposes the scope of a project into a hierarchy of deliverables and work packages. It explains what must be produced before a schedule decides when the work will happen.

Use it before estimating a project

A scope breakdown helps teams discuss coverage, ownership boundaries, and acceptance criteria before turning the work into tasks and dates.

Keep the breakdown coherent

  1. Cover the agreed scope. The children of a branch should collectively account for that branch’s work.
  2. Avoid overlapping packages. Place an output in one location and describe dependencies separately.
  3. Name tangible outcomes. Labels should reveal what is completed, not just a vague activity.
  4. Stop at a manageable level. Decompose until a package can be estimated and its completion recognized.
  5. Use stable identifiers. Hierarchical IDs help connect packages to estimates and supporting notes.

Draft the scope hierarchy

MyMap can organize project information into branches and revise the level of detail. The software example groups work by planning, design, development, testing, and deployment; request deliverable-based labels if that better fits your project.

Common questions

Is a WBS the same as a project schedule?

No. The WBS defines the work and outputs. A schedule adds order, dependencies, durations, and dates to that scope.

How detailed should the lowest level be?

Use work packages that someone can estimate, take responsibility for, and evaluate as complete. Avoid splitting solely to reach an arbitrary number of levels.

Can I organize by phase?

Yes, provided the structure still accounts for the project’s deliverables and avoids duplicate scope. The supplied software example uses phase headings.
