Personal Kanban for Individual Productivity

Personal Kanban takes the principles of team Kanban — visualize work and limit work in progress — and applies them to individual task management. The four columns (To Do, In Progress, Waiting, Done) provide just enough structure to manage a week's work without the overhead of a full project management system.

The most important column is In Progress. By limiting yourself to two or three tasks at a time, you eliminate the multitasking trap that makes every task take longer. The Waiting column captures tasks blocked on someone else's response, preventing them from cluttering your active queue and reminding you to follow up. Moving cards to Done provides a sense of accomplishment that abstract to-do lists often lack.

Start each week by populating To Do with your priorities, then pull cards into In Progress as capacity allows. At week's end, review your Done column — it often reveals more progress than you realized. Ask the AI to customize the columns, add priority labels, or create separate swimlanes for work and personal tasks.

What is a good WIP limit for the In Progress column?

Start with 3 items maximum. If you find yourself context-switching too much, drop to 2. The goal is to finish tasks before starting new ones. Ask the AI to 'Set a WIP limit of 3 on the In Progress column with a visual indicator.'

How do I handle recurring tasks like weekly reports?

Add them to To Do at the start of each week. You can ask the AI to 'Mark recurring tasks with a repeat icon and include Weekly Report, Team Standup Prep, and Expense Submission as recurring items.'

Can I add priority levels to the cards?

Yes. Ask the AI to 'Color-code cards by priority: red for urgent, orange for important, blue for routine.' Or use a numbered priority field. This helps you decide which To Do card to pull into In Progress next.

Should I reset the board every week?

Yes. Archive the Done column at the end of each week and start fresh. Carry over any incomplete tasks from To Do and In Progress. This weekly reset keeps the board clean and gives you a natural reflection point.
